Nobody dreams of renting chairs. And yet this is the item that ruins a reception when it is missing. A bare venue means bare: no tables, no glasses, no linen, sometimes no kitchen.

How to choose your equipment

  1. 1Get the venue inventory in writingWhat the venue provides ranges from everything to nothing. Ask for the list, not a spoken answer.
  2. 2Count generously on glassesA guest goes through three to four in an evening. Breakage adds to that.
  3. 3Check delivery and collectionThe venue's access hours decide everything. That is where schedules collide.
  4. 4Think about the weather plan BA marquee is decided weeks ahead, not the day before.
  5. 5Coordinate with the catererMany caterers bring their own equipment. Renting the same thing twice is common.

The five questions to ask

  • What exactly does the venue provide, and what has to be rented?
  • Are delivery, set-up and collection included?
  • What time do you deliver, and is the venue accessible?
  • How are breakages charged?
  • How late can we still adjust the quantities?

It depends entirely on the venue. Ask for its list in writing before you compare rental companies, it is the only way to avoid renting the same thing twice.
